Document Delivery Services (DDS) for NUS Staff & Students

DDS aims to provide copies of journal articles, book chapters or conference papers to NUS staff and students and to NUS Library corporate members.


Introduction

If an article/paper in a journal/book/conference proceeding, or a patent you need is not available in NUS Library’s collection, the Document Delivery Service will obtain it for you. 

Eligible users: This service is available to academic & research staff as well as to the graduate students and Honours students (the request forms for the latter two categories have to be countersigned by their supervisors). The DDS is provided by the NUS Library to support the teaching and research programmes of the University. Please note that the requests must therefore be related to these activities.

Staff of research institutes affiliated to the NUS, corporate members and libraries within Singapore and abroad may also apply to use the service. However, charges will apply. For more information, please contact the Coordinator, Document Delivery Services at   or Tel. No. 6516-3472.

Conforming with the Singapore Copyright Regulation

The DDS service is governed by Sect. 45 of the Singapore Copyright Act, Cap. 63, 1999 (Rev.Ed.). This requires the Library to obtain a signed copyright declaration from the requester before obtaining a photocopy of the requested material. 

The copyright declaration is incorporated in the printed form and the e-form for NUS staff and students and must be completed by the requester. This is why the DDS is not able to accept requests over the phone, by e-mail or by letter. 

By agreeing to the Copyright Declaration in the e-form you authorise the Library to accept your NUS ID and password as your “electronic signature” to comply with the above copyright regulation.

Submission of Requests

NUS staff and eligible students (Graduate, Honours and Final Year  students) can submit their requests electronically using the e-form "Request for Document Delivery Service" available at
http://www.lib.nus.edu.sg under the menu, "E-Forms".

To access the form,

1. Go to the NUS Libraries Portal.
2. Click LOGIN.


3. Click on E-Forms on the main menu.


4. Under E-Forms, select Request for Document Delivery (DDS).

However, student requests cannot be submitted online directly (as you are required to obtain your supervisor’s authorisation on the request form). On completing the form electronically, please forward it to your supervisor to obtain his/her approval. Your supervisor will (if he/she approves the request) forward your request to the Document Delivery Service for processing. If the request is not approved, the supervisor will inform you accordingly.

Receipt of articles 

All articles received electronically by the Library will be sent directly to the requester’s desktop electronically for requests made by the eligible NUS staff and students. This will reduce the turn-around time for the delivery of the articles as well as negate the need for requesters to come to the Library in person to collect the articles. The speed and convenience offered by the electronic document delivery service is facilitated by the use of the software Ariel (a document transmission system over the Internet). 

DDS will notify you via your e-mail when the article is received, so please check your e-mail regularly! You will be e-mailed an URL with a request number, which you will use to access your articles via your Web browser. All articles will be delivered in Portable Document Format (PDF). To view the article, please install Adobe Acrobat software in your PC’s hard disk. Use Windows Shopping in NUSNET to buy the Adobe Acrobat. 

The service is Web-based and the articles are kept in the Library server for only one week. If you are going to be away on conference or vacation leave, please inform DDS so that arrangements can be made to leave your article in the Library server longer. Should you encounter any problems accessing articles sent to you electronically, please contact the DDS staff at 6516-3472 or .   

For articles received by mail and fax, a notice will be sent to the staff member at his/her departmental address indicating that the article is ready for collection. As students do not have a mailbox in the departments, the notice will be sent to their supervisors. You must bring along that notice in order to collect the article from the DDS at the Reference & Information Services Dept. in the Central Library and the Information Desk in the other NUS libraries, which ever is the applicable collection location.

Charges for Uncollected Articles

Please note that requesters will incur charges if they do not collect their requested articles within a month of being notified of their receipt. The charges will comprise the cost of the article as well as an administrative charge of S$10.00 per article.

Tips for Successful Document Delivery Service 

  1. Provide complete information
  2. Type / write your request legibly
  3. Ensure that your supervisor's e-mail is entered in the DDS request form (for Graduate, Honours and Final Year students only) to facilitate authorization.
  4. Submit your request early to allow sufficient time for processing and ordering. 
  5. Provide a date by which material is required (especially if it is required urgently). 
  6. Respond promptly when the DDS requests for additional information from you pertaining to your request.
